SilicOcean Return, Refund & Cancellation Policy

At SilicOcean, we take pride in providing genuine, original, and hard-to-find electronic components to help our customers overcome critical shortages and obsolescence challenges. Due to the nature of our products and sourcing process, our policy is carefully structured to ensure fairness and transparency for both parties.

1. General Policy

All sales made by SilicOcean are final unless otherwise stated in writing. Returns, replacements, or refunds will be accepted only under the conditions outlined below and must be pre-authorized in writing by SilicOcean.

By placing an order, the Buyer acknowledges and agrees to this Policy, as well as SilicOcean’s Terms and Conditions of Sale.

2. Eligibility for Return or Refund

A return or refund request may be considered only under the following circumstances:

  • Product Non-Conformance
    • The delivered product does not meet the manufacturer’s specifications as stated in its official datasheet at the time of sale.
    • The claim must be supported by a third-party functional test report from an accredited test laboratory.
  • Incorrect Shipment by SilicOcean
    • The part number, quantity, or specification shipped does not match the confirmed Sales Order.
    • The Buyer must notify SilicOcean within 7 calendar days from receipt of goods.
  • Dead-on-Arrival (DOA)
    • If a product is found non-functional on first use (under normal conditions), a test report must be submitted within 14 days of receipt for evaluation.

3. Non-Returnable Items

Due to the sensitive and specialized nature of the electronic components industry, the following items cannot be returned or refunded:

  • Products sourced as “obsolete,” “end-of-life,” or “non-cancellable/non-returnable (NCNR)” at the time of purchase.
  • Components that have been soldered, altered, programmed, tested, or damaged after delivery.
  • Items returned without SilicOcean’s prior written authorization (RMA).
  • Products lacking original labeling, packaging, or traceability documentation when such requirements were not stipulated in the Buyer’s purchase order.
  • Any product returned due to change of mind, incorrect ordering, or project cancellation.

4. Return Authorization Procedure

Before returning any product, the Buyer must:

  1. Request a Return Material Authorization (RMA) number by emailing [email protected].
  2. Provide:
    • Original invoice and purchase order number.
    • Detailed reason for return and supporting documentation (e.g., test reports, photographs).
  3. Receive written RMA approval and shipping instructions.

All authorized returns must be shipped prepaid to SilicOcean’s designated facility, in original or equivalent packaging, within 10 business days of RMA issuance.

5. Inspection and Resolution

Upon receipt, SilicOcean will inspect and/or test the returned goods.

If the claim is validated, SilicOcean may, at its sole discretion:

  • Provide a replacement of the same or equivalent product,
  • Offer a credit note for future purchases, or
  • Issue a refund (exclusive of shipping and handling charges).

If the returned product is found to conform to specifications, it will be returned to the Buyer at Buyer’s expense, and no refund or replacement will be issued.

6. Refunds (if applicable)

Approved refunds (if any) will be processed within 15–30 business days after inspection and acceptance of returned goods. Refunds will be made only to the original payment method used during purchase.

All refunds are subject to:

  • Deduction of applicable restocking fees (typically 15–25% of invoice value).
  • Exclusion of freight, customs, testing, and handling costs.

7. Limitation of Liability

SilicOcean’s total liability for any returned or refunded product shall not exceed the original purchase price of that product.

SilicOcean shall not be liable for indirect, consequential, or incidental losses, including production delays, profit loss, or reputational damages.

8. Cancellation Policy

Order Binding Nature

Once a Purchase Order (PO) or Sales Order (SO) is confirmed by SilicOcean, it becomes legally binding and non-cancellable, unless explicitly agreed otherwise in writing.

Non-Cancellable/Non-Returnable (NCNR) Orders

All orders involving hard-to-find, obsolete, or special-procurement parts are considered NCNR. These cannot be cancelled or modified under any circumstances once confirmed.

Cancellation Before Processing

If a Buyer requests to cancel an order before shipment or sourcing initiation, SilicOcean may, at its sole discretion, approve the request.

  • If materials have already been allocated, sourced, or ordered from suppliers, cancellation will not be permitted.
  • If cancellation is accepted, a cancellation fee of 15–25% of the total order value may be applied to cover administrative and procurement costs.

Force Majeure or Supplier Failure

In rare cases where SilicOcean cannot fulfill an order due to supplier unavailability, export restrictions, or other uncontrollable factors, the Buyer will be notified, and a full refund or alternative solution will be offered.

9. Governing Law

This Return & Refund Policy is governed by and construed in accordance with the laws of Indore, Madhya Pradesh, India. Any disputes arising hereunder shall be subject to the exclusive jurisdiction of the competent courts in Indore, Madhya Pradesh.
